Introduction

The Manage Blocked Times tool is primarily used to prevent members from booking Courts during specific times. Blocks may also be used for adjusting Court times for seasonality. Finally, blocks can use different “templates” or rules for reserving CourtsThis is a guide to assist with the installation of Netcaddy Pro on a Windows PC.

Use Cases:

  • Prevent Members from booking a Court during allotted Maintenance hours.

  • Adjust the the 1st Court time from 8am back to 9am for the next 2 months.

  • Set up an Evening block every Wednesday that allows only a particular group of Members to reserve Courts

    This program can be used to print reservations and to back up reservations in the event of an internet outage at the club. The reservations team can also create custom reports to include additional member information for each reservation or to style the report in a different format.

    From the respective Courts Dashboard (Tennis, Squash, Racquetball, etc), click “Manage Blocked Times” as shown below.

    Add a Basic (One-Time) Block 

    Creating a single block takes only a few steps.  This would be done when a Club would like to block Members from playing on a Court or Courts at a specific date and time.   

    To add a basic block: 

      1. Type in the Block Title (Optional).  This title will be visible to the Members when booking Court Reservations.

      2. Ensure Court Grouping is proper.

      3. Template should remain on Admin Booking Only.  This ensures Members will not be able to reserve Court times during this window.

      4. Select the start date of the date to block.

      5. Enter the 1st and last timeslot to block. Tips: The clock icon can be used to select a 30 min interval. For other intervals simply type in the time.  The box is intelligent, meaning you can type in many ways such as “1310” or “110pm” for 1:10pm, or “832” for 8:32am. In other words you don’t need the “:”, or “am/pm”.

      6. Designate where the Block is to occur.  To block all Courts in the Court Grouping, uncheck the “Select Specific Courts” option, or check the “Select Specific Courts” option, and choose the “Select All” feature.  To choose specific Courts, check the “Select Specific Courts” option, and check the Court(s) where the Block will occur.

      7. To complete the block, click the “Add Blocked Time” button at the bottom-right.

    Once added, Block Title will be visible on both the Admin and Member Court Sheets, and will not allow Members to book during the block.

    Also note it is possible to control/change how the Court Times will appear on the Court Sheet by utilizing the “Styling” tab.  

    The Background and Text Color of how the Block appears on the Court sheet can be edited here.

    Editing One-Time Block 

    To edit an existing one-time block, click, Manage Blocked Times.

    Navigate to the “View Blocks” tab.  Then, click on the desired block to edit or delete.

    Add a Recurring Block (Block Series) 

    Frequency 

    The frequency setting is used to set recurring blocks called a series. For example, Friday Night Couple’s league could be set up as a weekly block series.

    End Date 

    The end date is often important for recurring blocks but it isn’t required. A block series can be set to extend until the Courts Admin removes the series.

     Check the “Select end date?” option to open and populate the “End Date” field.  Click “Add Blocked Time” when finished.

    To edit a block series requires removing the series and then re-adding it.

    Use Block Templates - Choose Booking Rules 

    A standard block simply closes the time so members cannot book. However, blocks can be used for more than just closing the time.  

    By adjusting the block template setting, they can also be used to adjust who can book or what Court times are on the sheet.

    For example, seasonal Court times can be controlled using blocks. This can also be done with the schedules for more advanced Court sheet configurations. 

    Blocks can be also used for basic event sign ups. For example, a “Women Only” block can be set to recur weekly on Thursdays 8am-10am.

    This would allow only males to book the Court times during this window.

     

    Shortcut to “Copy” Blocks 

    Sometimes similar blocks are needed throughout the month or year but not on a regular frequency. For these cases a shortcut may be used to copy blocks, requiring only a quick change to the date. 

    Steps: 

    1. Add a block which takes you to the “View Blocks” tab to see the newly created block.

    2. Click the “Add/Edit Block” tab to load the same settings for the block created in step 1.

    3. Change the settings for the new block. Often this would be just changing the date.

    4. Click “Add Blocked Time”. This copies the block but with the new settings such as the new date.

    Q. How do I set up block templates?

    A. Please contact the Res Team or your Project Manager for assistance with creating templates.

     

    Best Practices

    1. Determine if your machine is a 32 or 64 bit system by searching “System” in your start bar and opening the program.  Under system type, it will say either 64 bit system or 32 bit system.

    2. Download the Netcaddy Pro here: http://support.clubessential.com/netcaddypro(The first link is for 64-bit systems, systems running a 32-Bit OS will need to use the second link).

    3. Run the download and click through the prompts until the program is successfully installed.

    4. Open the program, in the top right corner of the window is a preferences icon. Click this to open the Settings window.

    5. The settings for this window will be provided for you by the reservations team or your project manager. You will need to enter the Site ID, Website URL, Username & Password for the website, and the Facility ID.

    6. Check the box for “Netcaddy Golf" for Tee Times, "Netcaddy Reservations" for courts/lessons/spa, etc. and “Netcaddy Dining" for Dining Reservations. You may select one or all of these options if you have these systems.

    7. Make sure the "Enable IP verification..." setting is NOT checked.

    8. Save, close and reopen the program.


    Using Netcaddy Pro


     

    1. Once the settings have been entered, open the program from the Netcaddy Pro icon on your desktop. In the top right, you will see several icons. The first icon is a filing cabinet. Image AddedThis will take you to the report view where your reports will be shown. You can change the reservation system and the report by the dropdowns in the top left. In the middle, it will display the date you are viewing and allow you to change the day by either clicking the arrows or the dropdown arrow to view the calendar to select the date. Days that do not have reservations scheduled will be blank.

    2. The Image Addedicon will give you access to your admin dashboard.

    3. You will need to hit the Refresh Image Addedicon anytime you would like to pull the latest reservation data from the website or before you print the reservations sheet. If you set the program to run on a Windows Scheduled task, Netcaddy Pro can be set to auto-refresh every five minutes.

    4. The fourth Icon is the print Icon Image Added. This can be used to quickly print the report you are viewing.

    5. The last icon is the Preferences icon Image Added. This will open the settings for Netcaddy Pro and allow you to update your settings as well as your username and password.

     



    FAQs


    Q: What If I get a message saying .NET Framework Required?

    A: If you receive a popup during installation that says you need to install a version of .NET framework, you will need to go to to : www.microsoft.com and download the .Net framework version 3.5 which includes versions .NET Framework 2.0, 3.0 and 3.5. After the .NET Framework is installed, re-run the Netcaddy Pro installer.


    Q: What If I Receive an Install Error?

    A: Confirm you downloaded the correct version of Netcaddy Pro (32 Bit version vs. 64 Bit version)


    Q: What If I have a Mac OS? 

    A: Netcaddy Pro is not compatible with Mac OS, however, there are programs that allow you to run Windows in a virtual machine within OS X.


    Q: My new website went live today and Netcaddy Pro is no longer working. What do I do?

     A: When the new website goes live, you will need to update the website URL to the new website URL. Open the Settings window, update the Website URL field, click the disk icon to save and shut down and reopen Netcaddy Pro. You should see your reservations again.

    Best Practices

    1. Hit Refresh anytime you would like to pull the most up to date reservations information from the website or right before you print the reservation sheet.

    2. If you have changed your website password, you need to update Netcaddy Pro as well. Open the settings icon in the top right and clear and replace the username and password field in the settings with your current password. Save the settings and close and reopen Netcaddy Pro. Click the refresh button and the reservations should appear.
