Overview
The Manage Timekeeping Module allows users, with the proper permissions, to edit an Employee’s existing Timesheet, create a new Timesheet, and delete a Timesheet. Timekeeping can be managed in both the POS and the Back Office System. In this section, we will review the proper procedures to follow when Managing Timekeeping in Mobile POS. Only users with the proper permissions will have these options available at the Mobile POS.

Accessing the Tool
To access the Timekeeping tool in the Mobile POS,
Log in to the POS as normal and open the flyout menu in the top left-hand corner.
Click Manage Timekeepingfrom the menu options.
The Manage Timekeeping Module will launch.
Editing an Existing Timesheet
To edit an existing Timesheet, select an open timesheet from the left hand pane. Click on the Pencil icon to open the edit window.
Below are the items available to edit:
The Job Code assigned to a particular Timesheet can be edited by selecting the expand arrows. The Lookup Value will display all Job Codes assigned to the Employee.
The Clock In Date/Time of a particular Timesheet can be edited here. Select the Calendar and clock icons to make any changes.
The Clock Out Date/Time of a particular Timesheet can be edited here. Select the Calendar and clock icons to make any changes.
Note: Each timesheet can have more than one clock in and clock out however punches cannot be manually added to this section. The employee would need to clock into the POS and then the timesheet can be edited.
Click OK once edits are complete.
Next, select a reason for editing the timesheet, then click Save.
It may be tempting to press space and leave this field blank, but for auditing/reporting purposes, be sure to complete a reason.
Creating a New Timesheet
To create a new Timesheet,
Click Add Timesheet at the top left of the screen.
Enter the following information:
The Employee can be added by clicking on the lookup magnifying glass.
The Job Code assigned to the Timesheet. Select the expand arrows to display all Job Codes assigned to the Employee.
The Clock In Date/Time for the punch. Select the Calendar and clock icons to add the correct Clock In.
The Clock Out Date/Time for the punch. Select the Calendar and clock icons to add the correct Clock Out.
Click OK when finished.
Delete a Timesheet
There are two options when deleting a Timesheet in the POS. In this section, we will review each option.
These clock in/outs and timesheets can be deleted even with open and closed tickets that were built during the shift. It is imperative to transfer those tickets into a different employees name so the correct information is saved.
Option 1 -
Highlight one of the timesheets and select Delete Timesheet on the top right of the screen.
Next, enter a Reason for Deleting the Timesheet and click Save.
Option 2 - The second way to delete an entire timesheet is by deleting all the clock in/outs within it. Under Manage Timekeeping,
highlight the timesheet to delete.
Click the Trashcan icon to delete each punch line. Once the final punch is gone the entire timesheet will be removed.
Each line deleted will require a reason.
Manage Timekeeping in Back Office
In this section, we will review the proper procedures to follow when Managing Timekeeping from the Back Office System.
Accessing the Tool
To access the Manage Timekeeping tool,
Select Employees from the left user menu.
ChooseManage Timekeeping.
Follow the steps discussed in the previous sections for Editing, Creating, and Deleting Time Sheets.
Best Practices
If having to continually make significant edits to timesheets, review Clock In/Clock Out procedures with Employees to ensure they understand the process.
FAQs
The system will not allow me to delete an employee's Timesheet. What can I do?
Any Timesheet associated with completed transactions cannot be deleted until all tickets associated with the Timesheet are transferred to another Employee. Please review our System Tool Manual for more information on Reopening, and Transferring Tickets.
