Accessing the Tool

Used by specialists to book appointments and schedule services on behalf of members/guests. While viewing the Specialists Admin Dashboard, Book Now is available on the right hand side.

Searching for Appointment

Use the following options to search for an open appointment:

  • Date - Select the day to search for an open appointment.

  • Search Range - If you need to search in between two different dates for an open slot, checkmark Search Range and an additional date field will be available to pick.

  • Time - Use the slider to find an appointment between the given time range.

  • Service - Select a category of services.

  • Service - After selecting the category, specify the service.

  • Specialist - Defaults to the specialist currently logged in.

  • Add-ons - If the service selected has an add-on available, there will be checkboxes to select desired add-ons.

  • Select the person who will be booking the service:

    • Client - These are member accounts on the website. Select the radio button next to client. Then, use the dropdown to choose which member the booking is being made for.

    • Guest - These are non-members. Select Guest radio button and then use the dropdown to choose an existing guest to book for.

    • New Guest - This is a guest who is not in the system already. Select the New Guest radio button. Fill out the four fields:

      • First Name (Required)

      • Last Name (Required)

      • Email

      • Phone

    • TBD - This option is used if it is unknown who the booking is being made for.

Click Search Availability. Available time slots will be displayed for the provider and times selected. During this time any of the booking details previously selected can be updated. Select an open time slot and it will turn green. Next, select Continue. This will open the appointment details screen which will temporarily hold that time slot based on the hold settings. Enter any pertinent notes as needed. You can also click MAKE RECURRING to set up a recurring booking by entering the frequency, day of the  week, and end date. Once all the details of the booking are ready, select Complete Booking to complete.

FAQs

  • Your dashboard may use a different term than 'specialist.' This is because the Core Administrators (Clubessential Admin) are able to customize the terminology to fit your club. If you see a different term, please know that all the functionality will remain the same.
