  • This guide will instruct you on the options and how to run the Income Statement reports. The guide provides examples and what data each report will provide.

Accessing the Tool

Interactive Reports gives you the ability to filter, sort, and group the data using criteria. The available criteria are specific to the information the report contains. The report functions give you the ability to customize date settings, save criteria settings, delete saved reports, and schedule an email delivery. In this section you will learn how to use the criteria and report functionality.

  1. Click on the Interactive Reports Icon from the left menu bar. 

  2. On the Report Overview page, there is a list of reporting categories to choose from, or the User can search for a topic in the top search bar. It is best to keep the topic as broad as possible. If the club wants to see POS sales search for sale.

Income Statement

Provides the net profit and loss for a specific period with the ability to filter by Department and Budget Type. 

To run the Income Statement, choose the report from the Accounting Dropdown,

  1. Select the Period Year.

  2. Choose the Companies.

  3. Select the Currency Format.

  4. Enter the Period Number.

  5. Choose the Departments.

  6. Choose which Columns you wish to show.

  7. Select the Budget Type to include on the income statement.

  8. Select View Report.

In this example we see that the report was ran for July of 2023 with the columns this month, budget, variance, last year, YTD YTD budget, variance, and YTD last year (to show a comparison to this time last year).

Income Statement Consolidated

Provides the net profit and loss for a specific period grouped by either Department or Rollup with the ability to filter by Department and Budget Type.

To run the Income Statement Consolidated, select the report from the Accounting Dropdown,

  1. Choose the Period Year.

  2. Select the Companies.

  3. Choose the Currency Format.

  4. Select the Period Number (Month).

  5. Choose the Departments.

  6. Choose how to Group the data.

  7. Choose your Columns.

  8. Select the Budget Type.

  9. Select View Report.

In this example we see the report was ran for July of 2023 showing all departments and companies. We have grouped by department and have chosen to run with the default budget. Our columns are this month, budget, variance, last year, YTD, YTD budget, variance, and YTD last year.

Income Statement Consolidated by Category

Provides the net profit and loss for a specific period grouped by either Department or Rollup with the ability to filter by Department, Budget Type, and Expense/Income Categories.

To run the Income Statement Consolidated by Category, choose the report from the Accounting Dropdown,

  1. Choose Period Year.

  2. Select the Company.

  3. Choose the Currency Format.

  4. Choose the Period Number (Month).

  5. Select the Departments.

  6. Choose how to Group By.

  7. Select your Columns.

  8. Choose the Budget Type.

  9. Choose the Category.

  10. Select View Report.

In this example we chose to run the report for July of 2023 with the default budget and are looking for all companies, departments and categories. The columns chosen are this month, budget, variance, last year, YTD, YTD budget, variance, and YTD last year.

Income Statement Consolidated by Category Drill Down

Provides the net profit and loss for a specific period with the ability to filter by Department, Budget Type and Expense/Income Categories. Ability to include Account Numbers and hide Zero Balance Accounts.

This report is designed the same way as the Income Statement Consolidated by Category report with the added functionality of drilling down via Detail Level.

To run the Income Statement Consolidated by Category Drill Down, select the report from the Accounting Dropdown and follow the same instructions as the Income Statement Consolidated by Category report and select your Detail Level. In this example we chose to run the report fully expanded using the Transaction level.

Income Statement Consolidated Drill Down

Provides the net profit and loss for a specific period with the ability to filter by Department and Budget Type. Ability to include Account Numbers and hide Zero Balance Accounts.

This report is designed the same way as the Income Statement Consolidated report with the added functionality of drilling down via Detail Level.

To run the Income Statement Consolidated Drill Down, select the report from the Accounting Dropdown and follow the same instructions as the Income Statement Consolidated report and select your Detail Level. In this example we chose to run the report fully collapsed using the Department Rollup level.

Income Statement Consolidated Rolling

Provides the net profit and loss for a specific period providing rolling income backward or forward in time with the ability to filter by Department and Budget Type. Ability to include Account Numbers and hide Zero Balance Accounts.

To run the Income Statement Consolidate Rolling, select the report from the Accounting Dropdown,

  1. Choose the Period Year.

  2. Choose the Company.

  3. Choose the Currency Format.

  4. Select the Period Number (Month).

  5. Choose the Departments.

  6. Select the Detail Level.

  7. Choose the Budget Type.

  8. Choose the Direction the report needs to roll.

  9. Select View Report.

In this example we ran the report for July 2023 for all companies and departments using the default budget. We have chosen to run the report rolling forward. Our columns are July 2023-June 2024 with totals.

In this example we ran the report for July 2023 only we chose the Backward Direction. The report shows us Aug 2022-July 2023.

Income Statement Drill Down

Provides the net profit and loss for a specific period with the ability to filter by Department and Budget Type. Ability to include Account Numbers and hide Zero Balance Accounts.

This report is ran and has the same options as the Income Statement report with the added feature of a Detail Level to drill down into the source of the income. In this example we have ran the report with a detail level of Transaction. Please see the income statement for all report options.


Best Practices

  • Departmental and Area Access is required to view sales data for most reports.
