Overview

  • In this Guide we will cover the Membership Reports Custom Field Values, Daily Management Summary, and Delinquent members. This guide will provide steps to run each report and will provide an example of how to run them.

Accessing the Tool

Interactive Reports gives you the ability to filter, sort, and group the data using criteria. The available criteria are specific to the information the report contains. The report functions give you the ability to customize date settings, save criteria settings, delete saved reports, and schedule an email delivery. In this section you will learn how to use the criteria and report functionality.

  1. Click on the Interactive Reports Icon from the left menu bar. 

  2. On the Report Overview page, there is a list of reporting categories to choose from, or the User can search for a topic in the top search bar. It is best to keep the topic as broad as possible. If the club wants to see POS sales search for sale.

Custom Field Values

Details all custom fields and the connected Member, Employee, or Guest. Can search for a specific Custom Field. Filter by Types (these choices change with entity) and Status (only available when Entity Type is Member). Group by Entity or Custom Field. Sort by Entity Number, Last Name, or Value. Can exclude true or false values if the custom field is set up as a true/false. Option to Exclude Empty Values and Exclude Guest Member.

To run Custom Field Values, select the report from the Membership Dropdown,

  1. Choose the Entity Type.

  2. Choose the member Types.

  3. Set how to Group By.

  4. Establish the True/False for the true/false field types.

  5. Select which Custom Field to report on.

  6. Choose the Status of the member.

  7. Choose how to Sort By.

  8. Set the Detail Level.

  9. Select View Report.

In this example we ran the report using the Entity Type of Member and have chosen to group by the custom field. Set to exclude the false and have sorted by Entity member. We set the detail level to be Entity so that the report runs fully expanded. We see the Custom Field and the Value for each member that has data in that custom field.

Daily Management Summary

Quick Summary of all covers and sales by area using an As Of Date. Filter by Item Groups and Item Categories. Can include the following: Comps, Discounts, Modifiers, Service Charge, Subtotal, and Tax. Option to Use Fiscal Year. 

To run Daily Management Summary, select the report from the Membership Dropdown,

  1. Set the Date.

  2. Choose the Item Group/s.

  3. Set the Detail Level.

  4. Choose the Item Categories.

  5. Set the Include.

  6. Select View Report.

In this example we ran the report for 8/9/23 and set the detail level as Item Category so that the report runs fully expanded. We see the Area, Amount, Covers, Amount Per Cover for Today, Period to Date, and Year to Date. Beneath the Area we see the Item Group and Item with the Item Group totals and Area Totals.

Delinquent Members

Summary report of all members who are delinquent based on an As Of Date. Can select one or multiple A/R Ledgers. Can select one or multiple Periods. Filter by Groups, Types, and Members. Extra filter option to adjust minimum total due. Options to Include Email (addresses), Include Phone (Numbers), Include Last Payment (amount and date), Exclude Guest Member, Include Status, and include All Balances.  

To run Delinquent Members, select the report from the Membership Dropdown,

  1. Set the As of Date.

  2. Choose the Group/s.

  3. Select the Type/s.

  4. Choose which Members to display.

  5. Choose the AR Ledger.

  6. Select which Periods to view.

  7. Set the Detail Level.

  8. Establish the Minimum Total Due.

  9. Check off the Additional Report Columns you wish to show.

  10. Select View Report.

In this example we ran the report for 8/9/2023 and set the detail level to be member, this runs the report fully collapsed. We see the Member ID, Member Name, the last 6 months of delinquency, and the total amount delinquent.
