Syncing BlueGolf Tournaments to Tee Times

Overview

  • This guide will explain how to pull members or guests who have registered for a tournament via the BlueGolf Tournaments system.

  • Tee Sheet Admin


Accessing the Tool

  1. First, set up Tournaments within BlueGolf. 

  2. Link the Tournament registration to the Event Calendar or Via a Registration link, provided by BlueGolf, in the Website’s navigation for participants to register for the Tournament.

  3. Login to your Clubessential website and navigate to the Tee Times Admin Dashboard.

Syncing Events

  1. Block out the times that correspond to the event setup within Blue Golf. 

    • Select Block Out Starts.

    • It is recommended to name the block the same or similar title to the created event.

    • Specific holes can be blocked off by selecting the checkbox next to Select specific holes. 

    • Select Add Blocked Time. 

  2. Once the blocks have been created and you have your rounds and pairings ready in Blue Golf, select Blue Golf Import. 

    • First, select which course the event is taking place on. 

    • Next, Choose the date range of the event and then select Update.

    • All rounds created within Blue Golf will be displayed within the selected date range. Click on a round to view more details.

    • The event name, date, which round, and how many players will display.

    • Select Preview Import.

      • If the round selected is not correct, select Back to Rounds. 

      • Otherwise, select Continue Import.

    • There will be a confirmation message. Select OK.

    • The players and groupings will be added to the tee sheet. 

      • (Note: Each round can only be imported once. Once a round has been imported, any further changes need to be made on the Clubessential Tee Sheet.) 


Best Practices

  • An event can only be imported once, if you need to make changes to a member or guest, do so on the Tee Sheet.

  • BlueGolf and the Clubessential website will perform an automatic Member Merge to ensure that BlueGolf is up to date on the membership list from Clubessential. Be sure to check for Unmatched Members regularly to correct and merge members that may have duplicates within Blue Golf.
