Office - Membership - Automatic Notification for Delinquent Balances

Table of Contents

Overview

To have an email sent to members who are delinquent automatically, there are a few things that needs to be set up. In the CMA software, a report will need to be created that lists the delinquent members you wish to target with this email. Then a group will need to be created based on the report and the group will be set to sync to the website. Once the group is set to sync to the website, you can then create a scheduled email that will sends monthly to this dynamic group.

Required Permissions

  • Membership

  • Interactive Reports

  • Website Admin

Step 1: Create Report.

  • In the CMA, you will need to go to the Interactive Reports module and open the ‘Delinquent Members’ report. Next you will want to edit the ‘As Of Date’ to update based on when the report is accessed. Most clubs will set the ‘As Of Date’ to Current Day.

  • You will then need to select the Periods you wish to be listed in the report.

    • Note that 30+ is equal to the previous month in the CMA software. That means, in October, any member who only has a balance in the one month or 30 day column has yet to pay their balance for September. Most clubs would not consider these members to be delinquent, so they do not include the ‘30+’ in their report.

  • Once you have the report set-up the way you would like, you will need to select “Save Current Settings

Step 2: Create Group

  • From the Membership dropdown menu, you will select Groups. Once on the groups grid, you will click New to create a new group.

In the Groups Setup popup:

  1. Name the group.

  2. Assign a Group Type. Mailing is most likely the option the club will choose.

  3. You will then want to change to a Dynamic group.

  4. In the criteria of the dynamic group, you will need to scroll down to ‘Report Criteria’.

  5. Set the Radial for Report Criteria to In.

  6. Use the Magnifying Glass icon to search for the report you just created.

  7. Save the group.

Step 3: Syncing Group to Website

Please follow the instructions in the guide below to sync the group to the website.

Step 4: Composing an Email:

It is important to note that even though these are DYNAMIC groups in the CMA, they will sync to the website as a STATIC group. This is because the rules for these groups are in the CMA, so the groups dynamically update in the CMA. When then group is synced over, the CMA is telling the website which members go into that group based on the rules in the CMA, making this a fixed group on the website.

Step 5: Scheduling Email:

Whoever schedules the email on the website will be the profile that the email will be sent from. You will want to make sure you are using the proper profile as you can only edit the email as the account the created it as well.
