Book A Spa Appointment Using the Booking Search

Overview
Used by members to book spa appointments. Provides the ability for members to search for appointments within a date range, time range, for specific services, and for specific providers.
Required Permissions
Club Members with a member type that has been granted spa booking capabilities.
Book an Appointment Using the Booking Search
The Booking Search can be used to book spa appointments. The search is useful if you’re not sure what types of services are available, when they’re available, or when certain providers work. While viewing the Spa Dashboard, the Booking Search is available on the right-hand side of the screen. Use the following options to search for an available appointment.
From date - Enter the date you want to use to search for available appointments.
Search Range - If you want to search for available appointments between a range of dates, checkmark Search Range checkbox. Enter the end date of your search range in the To date field.
Time Slider - Use the slider to narrow your search to be within specific times.
Service - Select the service that you want to book. The full list of services will appear.
Duration - Select the duration of the service (if applicable) that you want to book.
Add-ons - If the service selected has an add-on available, there will be checkboxes to select desired add-ons.
Provider - Once you select your service, providers of that service will be available for selection. Select the provider/ providers you want to search for. If you do not have a preferred provider, you can select Any.
Note: If your club has the “Provider Gender” option enabled, you will see Female and Male checkboxes that can be utilized in the search. Select your preferred provider gender. Leave both checkboxes unchecked if you do not have a gender preference.
Member - Will default to yourself. This is who you are booking the appointment for.
Depending on how your club has configured their spa booking rules, you may also have the ability to book an appointment for a family member. If so, you will see a dropdown arrow in the Member box. Click the dropdown to see your selection of family members. Select the family member desired.
Execute the Search
Click Search Availability. Available time slots will be displayed matching the search criteria entered.
If your search included a date range, your search results will list out each individual date within that range. Clicking on each date within the results will show you available appointment times for that date per provider.
If your search included multiple providers, you will see available appointment times broken out per provider.
Change the Search Options and Re-execute the Search
You can change your search criteria (any of the fields within the left-hand side of the screen: Date, Search Range, Time, Service, Duration, Provider or Member). Upon changing your search criteria, the Search Availability button will change to Update Search and the right-hand side of the screen will indicate that you have changed your search options. Click Update Search to execute a new search using the updated criteria. The new search results will appear within the right-hand side of the screen.
Book an Appointment
Click the time slot desired from the list of available times. Once selected, it will turn green.
Note: If your search included a range of days, you can navigate to the various calendar days within the search results to select your preferred appointment time.
Click Continue. This will open the Appointment Details screen which will temporarily hold that time slot based on your club’s hold settings.
Enter any Preferences/Notes as needed.
Select Complete Booking to complete.
Your appointment will be booked and you will be presented with the confirmed Appointment Details screen.
Edit a Booked Appointment
Click the Edit Booking button.
The booking search screen will reopen. Your search criteria will be prepopulated based on the Date, Time, Service, Duration, Provider and Member of the appoint that was booked. Your booked appointment time will appear in green with the notation of “Keep Time” so you can visually see your originally booked time.
You can select a new time from the results presented on this page or you can change your search criteria to execute a new search entirely.
Once you have selected your new appointment time, click Continue. This will open the Appointment Details screen which will temporarily hold that time slot based on your club’s hold settings.
Enter any Preferences/Notes as needed.
Select Complete Booking to complete.
Your appointment will be changed and you will be presented with the confirmed Appointment Details screen.
Cancel a Booked Appointment
Click the Cancel Booking button from the Appointment Details screen.
Select Yes, Cancel This Booking button.

FAQs
Your club has the ability to custom name their Spa reservation system. You may see a different dashboard name other than “Spa” when viewing your club’s system. The dashboard name of “Spa” is being used for this training article.
Your club has the ability to define a custom label used to to refer to professionals providing services at your club (i.e. Provider, Specialist, Trainer, Technician, Therapist, etc). The label used for this training article is “Provider” but your system may appear differently depending on the label your club selects.
