Overview

Used to control the master settings of your Spa Reservation and Management system.

Required Permissions

  • Core Administrators (Clubessential Admins)


System Settings 

Controls the master settings of your Spa Management system. Only Core Administrators (Clubessential Admins) have the ability to edit the Spa System Settings. If you see something that you need adjusted in this area, you will need to contact support@clubessential.com.

  • System Name: a name that describes the type of business you will be managing (i.e. Spa, Salon, Massage etc.). The label defined here will appear throughout the Spa Management system. 

  • Specialist/Provider Label: how your spa refers to the staff professionals providing spa services (i.e. Provider, Specialist, Technician, Therapist).  The label defined here will appear throughout the Spa Management system. 

  • System Open Time: the default start time for bookings at your spa; the time your spa begins offering services

  • System Close Time: the default closing time for your spa; the time your spa shuts down for the day

    • Note: The System Open and Close Times are used as the default hours of service  when a new Provider or Resource/Service Room is added. Provider specific service hours for their schedules are managed in the Specialist/Provider set up menu.

  • System Time Zone: the time zone of your spa

  • Maximum Resource Limit: the max number of resources (service rooms) that can be added to your Spa Management system. If your spa needs to add resources which will result in exceeding the maximum limit set for your spa, contact your Clubessential Customer Success Manager.

  • Service Brochure URL: a link to your spa’s service menu or brochure (either a page within your club’s website or a PDF) that will be made available to your members via their mobile app in order for them to review their spa service options. 

  • Enable Payment Summary on Appointment: allows a payment summary to be included on a booked appointment confirmation giving the member/guest an idea of the cost of the service they booked.    

  • Enable Provider Preferred Booking Open and Closing Options: allows Spa Admins to configure unique booking open and closing times for each individual specialist/provider. If not enabled, the booking open and close times specified in the Booking Availability (Admin Setup > Booking Rules) will be used for all specialists/providers. 

  • Hide Provider Contact Information: allows Spa Admins to hide provider personal contact information from members when viewing the reservation confirmation window.

  • Use CMA for Service Pricing (CMA/POS Only): for clubs/spas using Clubessential’s CMA and Mobile Point of Sale solutions, this toggle allows the club to integrate their Spa Management system with these systems. When toggled on, all spa services need to be associated with items defined in CMA, along with their associated price. When setting up spa services, the item will be selected/pulled directly from CMA with the defined price. When toggled off, the price can be entered directly in the Service Duration/Price table itself; the price will not be linked to any other system and will be for viewing purposes only. 

  • Allow Recurring Reservations: allows Spa Admins to book recurring reservations/standing appointments for members/guests.

  • Enable Service Add-ons: allow service bookings that include additional short services (example: aromatherapy).

  • Allow Specialists to Add/Edit in The Past: allows specialists to be able to add and edit past bookings.

  • Enable Commission Reporting: allows admins to set and edit commission rates for providers/specialists.
