Master Setup - System Settings

Overview

Used to control the master settings of your Professional Services/Lessons Reservation and Management system.

Required Permissions

  • Core Administrators (Clubessential Admins)


System Settings 

Controls the master settings of your Professional Services/Lessons Reservation and Management system. Only Core Administrators (Clubessential Admins) have the ability to edit the System Settings. If you see something that you need adjusted in this area, you will need to contact support@clubessential.com.

  • System Name: a name that describes the type of business you will be managing (i.e. Personal Training, Tennis Lessons, Golf Lessons, Individual Instruction, etc.). The label defined here will appear throughout your Professional Services/Lessons system. 

  • Specialist Label: how your club refers to the staff professionals providing services (i.e. Specialist, Trainer, Professional, Technician, Therapist).  The label defined here will appear throughout your Professional Services/Lessons system. 

  • System Open Time: the default start time for bookings at your club; the time your club will begin offering services

  • System Close Time: the default closing time for bookings at your club; the time your club stop offering services for the day

    • Note: The System Open and Close Times are used as the default hours of service when a new Specialist or Resource is added to your Professional Services/Lessons system. Specialist specific service hours (each Specialist’s personal schedule) can be managed in the Specialist set up menu.

  • System Time Zone: the time zone of your club

  • Maximum Resource Limit: the max number of resources (service rooms) that can be added to your Professional Services/Lessons Reservation and Management system. If your club needs to add resources exceeding the maximum limit set here, contact your Clubessential Customer Success Manager.

  • Service Brochure URL: a link to your club’s service menu or brochure (either a page within your club’s website or a PDF) that will be made available to your members via their mobile app in order for them to review their service options. 

  • Enable Payment Summary on Appointment: allows a payment summary to be included on a booked appointment confirmation giving the member/guest an idea of the cost of the service they booked.    

  • Enable Specialist Preferred Booking Open and Closing Options: allows Professional Service Admins to configure unique booking open and closing times for each individual specialist. If not enabled, the booking open and close times specified in the Booking Availability (Admin Setup > Booking Rules) will be used for all specialists. 

  • Hide Provider Contact Information: allows Spa Admins to hide provider personal contact information from members when viewing the reservation confirmation window.

  • Use CMA for Service Pricing (CMA/POS Only): for clubs using Clubessential’s CMA and Mobile Point of Sale solutions, this toggle allows the club to integrate their Professional Services/Lessons system with these other systems. When toggled on, all services offered need to be associated with items defined in CMA, along with their associated price. When setting up services, the item will be selected/pulled directly from CMA with the defined price. When toggled off, the price is entered directly in the Service Duration/Price table itself; the price will not be linked to any other system and will be for viewing purposes only. 

  • Allow Recurring Reservations: allows Professional Service Admins to book recurring reservations/standing appointments for members/guests.

  • Enable Service Add-ons: allows service bookings that include additional short services (example: dry needling).

  • Allow Specialists to Add/Edit in The Past: allows specialists to be able to add and edit past bookings.

  • Enable Commission Reporting: allows admins to set and edit commission rates for providers/specialists.
