Club Intelligence - Reading the Controller Dashboard

Overview

  • The Controller Dashboard will give the Controller up to date data to help understand the account standings for the club for the date range set on the dashboard. There are widgets highlighting P&L as well as gross and net income.

  • Each dashboard you access will be composed of various widgets. Some can be modified via filters but also will have options within the widget to drill down for more information and Data. For more information on filtering widgets, please refer to the guides:

Required Permissions

  • Club Intelligence Admin

 


Accessing the Tool

  1. Go to Admin Bar. 

  2. Select Club Intelligence. 

  3. Select the F&B Dashboard. 

Gross Profit with Net Profit and Loss

The first set of widgets seen are:

  1. Gross Profit - This widget displays the numerical value for the club’s gross profit with a percentage identifier for growth versus last year. Selecting the widget will produce a pop up showing GL Transactions.

  2. Net Profit/Loss - This widget shows a numerical value for the club’s net P&L. There is a comparator (in percentage) for the growth versus last year. Selecting this widget will produce a popup containing the GL Transactions in relation to P&L.

Income/COGS/Expense

The next set of widgets will show:

  1. Total Income - This widget displays the Total Income for the club with a comparator for this time last year. Selecting the widget will produce a popup that contains the GL Transactions that affect income.

  2. Total COGS - This widget displays the total Cost of Goods Sold with a comparator for last years numbers. Selecting this widget produces a popup highlighting the GL Transactions that affect the COGS accounts.

  3. Total Expense - This widget displays the expense dollars for the club with a comparator for the same time last year. Selecting this widget will produce a popup containing the GL Transactions that affect the expense account for club. You will see all vendor invoices listed here.

Net Profit/Loss by Department

This widget is shown in bar graph format and displays the Net P&L for the club broken down by department. Selecting a data point (bar) will produce a popup that contains additional graphs and charts:

  • Summary by Category - A bar graph that shows the department’s breakdown by ledger category.

  • Net Revenue by Day - A line graph showing the revenue by day for date range selected in the dashboard.

  • GL Transactions - A chart displaying the GL Transactions that affected this department.

Budgeting

The next set of widgets contain data on the club’s budget:

  1. Budget % by Account - Income - This chart displays the ledger account with its budget amount and income. You see the percent to budget percent with a budget amount proration shown in dollar and percentage.

  2. Income % to Budget - This widget is displayed as a gauge with a percentage value given for the Income % to Budget.

  3. COGS/Expense % to Budget - This widget is displayed as a gauge with a percentage value given for the COGS/Expense to budget.

  4. Budget % by Account (COGS & Expenses) - A chart displaying the budget percent by account. Listed are the Ledger Accounts with the budget amount and expenses. We see the budget % with prorated amounts shown in dollar and percent.

Net Profit/Loss - Actual vs. Budget

This widget displays the net P&L with comparators for Actual dollars versus the Budgeted amounts. There are data points for Variance to Budget, Net Profit/Loss, and Budget Amount. Drilling into a data point will show it’s “Days in Date” only.

Gross Income and Expense Month over Month

The final set of widgets display:

Gross Income - MoM - Displays, in line graph format, the gross income dollars month over month for last 12 months. Selecting a data point will drill down into the Days in Date for that month’s gross income.

Gross Expense - MoM - Displays, in line graph format, the gross expense dollars month over month for the last 12 months. Selecting a data point will drill down into the Days in Date for that month’s gross expenses.
